Management of Applications for Summer Schools
The International Relations Office of Université Paris Cité implements the processing of personal data within the framework of managing applications to specific short programs “Summer Schools”.
Purpose of the data processing
Purposes:
Evaluation and monitoring of application files and carrying out the selection of successful candidates;
Communication about the Summer Schools programs;
Establishment of statistics.
Legal basis: The legal basis for the processing is the performance of a task carried out in the public interest (Article 6.1.e of the GDPR).
Data processed
Identification data:
For the creation of the application account: Email address (professional or personal depending on the preference of the data subject);
For applicants: Last name, first name, identity document (passport or European identity card), date of birth, gender, nationality, city of birth, country of birth, telephone number, postal address, last country where the student studied, country where the student resided the previous year, country where the last diploma was obtained;
For persons designated as “emergency contact”: Last name, first name, email address, telephone number.
Financial and accounting data (in case of a reimbursement request).
Professional data:
CV;
Status;
Copy of diploma;
Enrollment at Université Paris Cité;
Enrollment in a French university over the past ten years;
Year of obtaining the secondary school diploma;
Year of obtaining the last diploma;
Year of the last school or university enrollment;
Current employer;
Level of study;
Field of study.
Source of data:
The data are collected from the data subjects when submitting an application file.
Mandatory nature of data collection:
The collection of data is mandatory to submit an application to the “Summer Schools” programs.
Automated decision-making:
The processing does not provide for automated decision-making.

Applicants to the Université Paris Cité Summer Schools programs.
Recipients of the data
Within the limits of their respective needs, recipients of all or part of the data are:
Faculty of Université Paris Cité offering a Summer Schools program;
Training and Research Unit (UFR) of Université Paris Cité offering a Summer Schools program;
The International Relations Office of Université Paris Cité;
Accounting Agency of Université Paris Cité;
Delegated General Directorate for Studies, Training and Pedagogical Innovation (DGDEFI).
Transfers of data outside the EU: No transfer of data outside the European Union is carried out.
Data retention period
Data from rejected application files will not be kept beyond one (1) year after the end of the application campaign for the short and specific programs.
Data from accepted application files will not be kept beyond a period of three (3) years after administrative enrollment.
Financial and accounting data (excluding bank details) will not be kept beyond ten (10) years after data collection.
Security
Security measures are implemented in accordance with the State Information Systems Security Policy (PSSI-E) and the university’s IT Charter.
Your rights regarding your data
You can access your data, rectify it, request its deletion or exercise your right to restrict the processing of your data. You can also object to the processing of your data.
